Job Description

Executive Assistant – Group Internal Audit

Group Internal Audit is looking for an Executive Business Assistant to provide executive level administrative support to Senior Vice President Group Internal Audit as well as supporting administrative tasks to the team (e.g. budget preparation, dashboard handling and definition)
You will join our HQ office in Gothenburg to work in a global team, directly with all our business areas, truck divisions and group functions. Our team is diverse, multilingual and future oriented!

How are we positioned in the company?
Group Internal Audit reports to the Board of Directors and Executive management and is dedicated to:
• Provide the Board & Executive Management with an independent, objective and risk-based assurance on the effectiveness of governance, risk management and control processes.
• Provide independent and objective advice and insights to deliver visible value to the business, improving the company’s organization and strengthening its internal control.

What you will do
• Provide comprehensive executive administration support for SVP Group Internal Audit.
• Coordinate and follow up of plans and activities within Group Internal Audit management team
• Contribute to preparing budgets and financial forecasts for Group Internal Audit

• Prepare dashboard using Power BI
• Design communication kits and material to market Internal Audit within the Group
• Independently drive delegated tasks and make proposals for improvements
• Handling of purchasing orders and invoices
• Coordinate and support introduction of new employees together with responsible manager
• Ability to interact with all levels of management, practicing excellent interpersonal and communication skills (both verbal and written).
• Be the key contact for work environment topics in the department
• Provide administrative support to the management team members
• Perform administrative tasks such as travel arrangements and expense reporting
• Create presentations using Microsoft Power Point software
• Providing general office administrative support
• Other duties as assigned.

• You have good administration and communication skills, are service-minded and flexible, have the ability and mindset to deal with tight deadlines and handle sensitive and confidential information and have a high level of personal integrity
• You have advanced skills in English and Swedish, both verbally and in formal writing
• You are comfortable with figures and can support establishing excel based budgets
• You can handle Power BI reporting and dashboard and potentially design your own dashboards.
• You have excellent experience of Office 365 and eager to learn and utilize new tools and processes
• Strong organizational skills and ability to multitask.
